Microsoft Exchange Migration Information and Agreement

  1. Send an invoice
  2. Schedule a migration day (if not done already)
  3. Setup your Microsoft Accounts
  4. Verify records with your website control panel
  5. Create your usernames and email accounts
  6. Send documentation to your team about the migration. Phone setup information, support information and Microsoft Portal login information

What to expect during your migration:

  • Your email will be able to be sent/received on your phone and on an internet browser after we get your new Outlook profile setup. The old email needs to synchronize with the new server, so no email will be able to sent or received in your desktop Outlook client until it’s done syncing. The more email you have, the longer it takes.
  • If we use an email migration tool, then your new Outlook profile will need to download the email and that still will take time if you have a lot of email.
  • Expect an invoice 30 days after we setup your email from They are the vendors who manage your Exchange server. You can pay monthly or yearly.
  • You will be able to call into AppRiver for 24×7 support, any person calling in must have global admin rights to do the calling in for password reset, etc. I can also teach you how to do this on your own.
  • Call That Girl can be retained to do this work and her night/weekend support team will and can have access to do password resets and assistance. If you need a password reset on a prepay ticket, the cost is $28, if not it’s $69. This is why we offer the prepay ticket, for discounts on such calls.
  • Please delete all unnecessary email before the migration, this will help speed up the process. Usual files are deleted items, old sent items, folders that are old. If you don’t want to delete these items, but archive them to a local PST folder, we can help with that but need to know prior to a migration and we do bill extra for that service.

Microsoft Migration Form

  • Please type in the number of employees or shared mailboxes you have. Please include any forwards such as sales@, or info@

  • Please fill in your website control panel login and password. If you are not comfortable putting it in this form, please email If you don't know, please type "I don't know" so I can call you and help figure it out.
  • Such as a personal email account, gmail, or Hotmail. Most people have business and personal. We need to add this second account to the primary owners account for security purposes with AppRiver. If you do not have one, just type in
  • For synchronizing mail, contacts and calendaring
  • It's important for us to know if you currently have a subscription to Office 365. This may be the 5 for $99 or another Office 365 for Business Plan
  • Examples...GoDaddy, Network Solutions, RackSpace, Comcast, etc.
  • It's important for us to know if your office/home office has fast or slow internet speeds. This helps us gauge how long it will take to download and upload your email to the new servers.
    Many small businesses do not use these features, I ask so we make sure to migrate this data over to the new server.
  • Does your company have a SharePoint site or OneDrive accounts that need to be migrated to the new Office 365 account? This is very important for us to know especially if you are moving from GoDaddy to Microsoft.
    We need to know this so if there is an issue, it can be resolved with the local technician who supports your network and DNS servers.
    By checking the box below, I understand that installing, configuring and repairing any and all Office products is not included in the migration costs. If any of the above does happen, the owner of the business or manager will be notified of additional charges and approval is required before work can continue.
  • Does your company need new Office software? If you are using Office 2007 or below, you will need new software. If you have 2010, you should be ok but upgrading is sometimes recommended as 2010 is getting old and doesn't always work so well with the new Exchange. Just a tip. Our migration quote does not include installing new Office software. If you want this included, please let Lisa know, another quote will be added.
  • While my VIP Level Migrations include many extras that other companies do not offer, I have some limitations on the project. Extra work might be billable. Here are some examples. I will let you know during our quote time as well. The following issues are not included in the migration quote. Extended Training, Special Contact Management, Setup of extra accounts (such as personal, Gmail, etc.) Special 3rd party apps, iCloud setup and configurations, SharePoint setup, installation, configuration, training, OneDrive setup, installation, configuration, training. Any other Office 365 products assistance. If you want these products added to the quote, please let Lisa know.
  • While Lisa has processes in place to backup all data with the migration, there may be data that you are aware of (another server, email provider,3rd party application, syncing programs, iCloud etc) that Lisa is not aware of. It is your responsibility to let her know of this data prior to the migration or to check directly after all data has been migrated. Any data not moved to the server after the closing of the migration project is subject to extra billable time. The aftercare appointment will help you confirm your data has been migrated.
  • Lisa offers next day aftercare for fine tuning and any additional questions. This is included in your migration costs. If you opt out of the aftercare, then any questions after the closing of your migration will result in extra billable time.
    I agree that Call That Girl/Lisa Hendrickson is not responsible for data loss during any migration process. Lisa does have processes in place to backup data prior to the migration, but cannot be responsible for technical issues outside of her control. Take note: Do not turn off your old email hosting until you are 100% sure all of your data is on the new Exchange server.
