Tips for setting up Office 365 Outlook

Hi again! This week I will discuss setting up Outlook on your new Windows 10 computer. If you didn’t read my last newsletter on tips of setting up a new Windows 10 computer, please check your junk or spam or email me for a copy. It was a good read!
Many calls I get are from clients who are having issues with Outlook involving freezing, synchronizing, weird snags or “there are no default apps” when using a 3rd party software. Here’s my diagnosis…these folks all configured Outlook wrong, have too much email, installed 64-bit Office or are using the trial version pre-installed. If 64-bit is the problem, here’s why…you didn’t have a choice when you installed it from the online Microsoft portal. But…you did have a choice; Microsoft just does a horrible job of letting you know you can install 32-bit still. For some reason, they think 64-bit is for everyone and it’s definitely not! If you have issues with the pre-installed version, you can follow these instructions for reinstalling the 32-bit that works better.
Here are some steps for installing the 32-bit version when you’re setting up your computer. If you are having issues now with Outlook, please call me to help 612-865-4475. While the swap of the Office installs should not have issues, sometimes there are other problems causing your Outlook to have issues. I can properly diagnose and back up your email and calendar and contacts before we reconfigure.
Residential instructions first (Office 365 Home), then Business (Office 365 Business Premium)
Tips for setting up Outlook on a new Windows 10 computer for residential clients
Follow these instructions to download Office 365 Home 32-bit from the Microsoft store. Here is the login page https://account.microsoft.com/services and look for “Services & subscriptions” at the top of the page.
Tips for setting up Outlook on a new Windows 10 with Office 365 Business accounts.
Follow these instructions to download Office 365 32-bit from your Office 365 account. Log into www.office.com
This is the area you can see all your applications and admin control panel if you are an administrator of your account.
When you click on “Install Office, you’ll see the options for “other install options” and click that.
Then you will see the box below, select 32-bit version and hit “Install Office”
When you first install Office, launch Outlook and just put in your password and then it will auto setup for you.
When you go to launch Outlook, you will see a pop up like this –>
Exchange:
If you have Microsoft Exchange, this should just setup fine. If you get errors, you have other issues that I can’t explain in a newsletter. I recommend you call me 612-865-4475.
IMAP:
If you have a free email account like Comcast, Charter, Cox, Gmail, etc…type in your email account and this should setup automatically for you. This will setup as IMAP though. Here is where people have issues and such…they setup their account as IMAP and try to import in their PST and this is a NO NO unless you know what you are doing.  This is the time to call me before doing that or else you will possibly have “synchronizing issues” maybe corrupted folders with “This computer only” and a variety of other problems.
POP: 
The POP setup will work but doesn’t offer an easy way to connect to your PST files. I do all my setup in the control panel for Outlook so I can add the PST to the accounts properly. Then I launch Outlook.  If you have used POP email in the past, then you should call me to help if you don’t know how to do this. Setting up with a pop account has more instructions than what I can offer in a newsletter.
GSuite: 
If you want to setup GSuite, you need to download the GSuite Sync for Microsoft Outlook (GSSMO). Please take note, this is not for those that use the free @gmail.com for their email, this is for paid subscribers of the GSuite platform.
If are you setting up a new computer and your old computer was setup for IMAP, please take note that setting up GSuite has a few “issues” and you might not see the exact same folder structure or amount of data downloaded. Tips for Buying a New Windows PC

Hi again! This week as promised…I will discuss tips on buying a new computer. Remember Windows 7 end of life is Jan 14, 2020. You have some time to still get your new computer before then. Black Friday is coming up and that will be a great time to get a new computer as well as last good write off for your business in 2019!
I’ll make it super simple and tell you the guidelines I use when I buy a computer. I won’t go into technical details here and if you want to know more, you can book an appointment with me to help understand what you need (I can remote in) and help purchase your computer.
Before you buy! 
  1. Have a budget in place for the hardware. Desktops are usually less expensive because you have your equipment already for a desktop unit (monitors, keyboard, mouse, dock, speakers, etc.). Laptops are usually more expensive, and the better-quality ones are definitely more spendy.
  2. Have your software budget in place. You might need to upgrade Office, QuickBooks, etc. Figure out all the software you will need for a new computer.
  3. Have your installation and configuration budget ready. You might need a few hours for this if you need help. You might need someone to come to your home or office to setup scanners, printers, networking, etc. I can help with setting up Outlook, Office 365, SharePoint, Dropbox, etc.
  4. Finally, as you all know, I sell my support tickets. 2 or 4 hours for helping your purchase your computer, transfer data, setup the new computer and configure Outlook the right way. You should have time left over to use in the future too. Googling issues can take you down a wrong path especially with Outlook!
Hardware purchase tips

Desktop recommendations

  • 500 Gig to 1 Terabyte Solid State drive
  • 12-32 gigs of RAM
  • i5 or i7 Processor
  • Don’t over buy if you don’t need it.
  • Be sure your monitor plugs work in the new computer, you might need to buy extenders!

Laptop (same as above)
  • Be sure you get the keyboard you love. Some laptops have keyboards on the side, and some don’t. You should buy similar to what you have now.
  • Be sure to check the glare on the screen as that is bothersome to many folks with overhead light issues.
  • Check the weight and be sure it’s not too heavy
Shopping tips
  • Buying online from Dell or HP can be a long process. You might see that Windows is an upgrade option. Be sure to check that off as you will need to purchase it as well. Ubuntu is maybe the “Free operating system” option and unless you understand that operating system, you will be sending it back if you don’t!
  • Black Friday will be full of deals, just check my specifications I listed above, and you should be able to find some good deals!

 

  • If you need the warranty for business, I recommend buying it.
Questions

If you have a decent computer and just want to upgrade to Windows 10, you can do that. I recommend that you take your computer to a local shop and get it done. They will do everything for you, back up your data, install the new drive, clone best they can and install it all fresh and finally test the drivers you need.

Outlook & Email Back Up Tips

Welcome back! This week I will discuss a few important issues about securing your Outlook, email and backing up. 
Phishing, email, phone and text scams, wire transfer fraud and ransomware are still happening every day to regular people, not just “big cities” with bad backup solutions. I hear it often from my clients. They clicked in a link and all their inbox emails were missing. I found they were hacked, and the hacker put in rules to delete all new emails. I have seen worse than that, clients being taken in wire transfer fraud schemes for over $100,000! 1.) Never give out your password to anyone online.
If you click a link and it asks for your password to anything (unless you are intentionally logging in), close the window! Forward me the email you received if you want me to spot check it for validity (I do this free for prepay clients). Phishing scammers are getting smarter everyday, if you click a link and it looks legit, it’s probably not!
2.) Never let someone you don’t know remote in your computer.
This is almost always a scammer and they will more than likely try to destroy your computer if you don’t pay. Some do it anyway! This happens a lot when you go to Google and look for “Microsoft’s phone number” it’s usually a scam company.

Call me to help set it up or call your IT service provider. 2-Step is getting a text code, or a code sent to another email to allow access to your email online. How this works….if you have security setup and one day you get a text for a code and you didn’t do something to activate it, someone probably is trying to hack in your email. That’s what 2-step does…protects your email account.

4.) If your email is going into people’s junk or spam, You need a SPF record updated with the company you bought your website from (GoDaddy, Network Solutions, Blue Host, etc.) This is not always the same as where you email is hosted. I can help with this setup and I can also setup more records for your company email account. And if you need to, migrate to a Microsoft Exchange Server.
 
 
5.) Backing up your email is just as important as your other files!
I believe in backing up the IMAP, Exchange and those pesky “This Computer Only” folders in your email, calendar, contacts, tasks and notes. If you see “This Computer Only” I can remote in and help you move those entries to a local PST file and back them up daily. Here is my partner link to download Carbonite for $71 a year

Moving office 365 account from GoDaddy to Microsoft

As an Outlook Expert, Exchange Migration Specialist and Office 365 Consultant, I get calls in often from clients who have signed up with GoDaddy Office 365 and now have many regrets, and want to move their Office 365 from GoDaddy to Microsoft direct.

In the past few months, I have slowly been creating a list of major issues with GoDaddy’s Office 365 Business accounts. Before you read this, please know that I contacted them and they told me that they are able to sell their products at a cheaper price but only because they offer LESS of the Office 365 product. Feel free to call and ask for yourself if you want to know. But be assured, they are fast to sell you on Office 365 with their “credits” they will entice you with and half off the first year or some other “3 year deal” That “deal” could cause you hours and hours of headaches. Or as you will read below, you need more than what they offer and you have to migrate off their Office 365 plans. Which might be costly and time consuming.

Here is the list of technical snags I have come across

  • Cannot have administrator rights, so extra’s from Office cannot probably be added. My client was trying to add an app and could not and now has to migrate to the “real” Office 365. Doing that migration on Monday Sep 11, 2017 and since it’s an Office 365 to Office 365 CSP, it’s a full shut down on GoDaddy’s side. I will have a document available for those that want a copy. Use my contact form below or check back on this blog later.
  • Issue with downloading and using the OneDrive/SharePoint sync software. I had to find a workaround to get it to work. GoDaddy confirmed client was not given the full version of Office 365 because GoDaddy offers such a great discount to users. So again, the half-baked version.   • Cannot use 2-step or MFA, only a password reset for security. Another client got phished last week and she called, confirmed again, the half-baked doesn’t offer that.
  • Cannot view the admin control panel with all the functionality we need as techs to support clients. The ECP is only available if you know how to get it to.
  • They will have you call Microsoft for some troubleshooting/other vendors typically cover all troubleshooting
  • When you need to reset an Office 365 password, be careful….it takes you out of your usual Office 365 and back to the GoDaddy portal and yep, you might just reset the wrong password! Happened to me already.

Solutions:

  1. Since many of these folks got free migrations inbound from GoDaddy, they should expect a charge for migrating off.
  2. Clients just have to use the half-baked version and figure out workarounds.
