Why is Outlook Slow to Sync

Outlook Classic can be slow to synch for many reasons, below are the top things I look for when I help a client. As an expert in Outlook Classic, I go through most of these during the onboarding of our first appointment and can figure out the problem quickly. Then we move on to solutions. Solutions may take time to repair, or can be moved to a project (migrate email to Exchange) or repair with other options. All options are your choice.   • VPN interference
  • Antivirus or security software (Malwarebytes, Norton, etc.)
  • Large OST file (cached mailbox too big)
  • “Download Shared Folders” enabled
  • Too many shared mailboxes
  • Poor or high-latency internet connection
  • Exchange Online throttling (Microsoft 365 limits)
  • Corrupt OST file
  • Problematic Outlook add-ins
  • Corrupt Outlook profile
  • AutoDiscover configuration issues
  • DNS misconfiguration or slow DNS resolution
  • Cached Exchange Mode disabled (online mode)
  • Windows Search indexing problems
  • Background apps consuming bandwidth (Teams, OneDrive, backups)
  • OneDrive sync conflicts (especially with PST files)
  • Too many items in a single folder (large mailbox folders)
  • IMAP account limitations (non-Exchange accounts)
  • Firewall or network filtering / deep packet inspection
  • Outdated Outlook or Windows version

iCloud for Windows not synching with New Outlook

If you have iCloud for Windows set up in New Outlook, you might notice a synching delay. I just helped a client who called me back to let me know about this. I told him that iCloud on the browser and phone update automatically but there might be a delay for New Outlook to sync up. There are no options that I know of to sync it faster, so expect up to 15 minutes.

I’m not sure if this is typical as I have helped many people with iCloud and New Outlook and no one else has reported this delay, but it could be a recent change so that’s why I created this post.

How to block junk or spam in Microsoft 365 from never hitting your inbox or junk folder

In Exchange admin in Microsoft 365, you can setup server rules that will block emails so it doesn’t even hit your junk mail. I watch my junk mail folder like a hawk as sometimes my clients emails will go there. But lately, I’ve seen a lot of common words that I will never need to see again ever, such as: Wealth, VOIP, Financials, Million. I mean, maybe one day but not now lol.

So I created some mail flow rules to stop these from coming in to my junk or inbox.

Here is how you can do that:

  • Go to your Exchange Admin Center: https://admin.exchange.microsoft.com
  • Then go to Mail Flow, then Rules (it’s right under)
  • Click on “Add a rule” and “create a new rule”
  • Set the name and conditions you want. I put in a word that works for all “Million”
  • Chose: “Apply this rule if” and then “if the subject or body”  and then the box to the right “if the subject or body includes any of these words”
  • A box will appear and then you can add the words you want filtered to go right to your deleted items.
  • Click “Add” and then “Save”
  • Be sure it’s enabled

Now you can send yourself a test from another email account and see if it appears in the junk or inbox. I’m very careful when considering words that I don’t want to miss but I keep adding new words daily and am finding my junk mail is getting down to less and less. I’m also checking my deleted items on occasion to verify.

New Outlook Stuck On Loading People

New Outlook Stuck On Loading People

If you launch New Outlook and you click on the people icon and see the “loading people” loop, you can remove the account from New Outlook and add it back in. Something with the account is not connected correctly. Usually based on an update from Gmail or Windows or both. When I removed the account, and added it back, I saw the new security pop up and that is what alerted me to an update causing this problem.
