How to upgrade Outlook 2010 to Office 365

How to upgrade Outlook 2010 to Office 365

Hi Folks!

As a Microsoft Outlook Expert, many times I remote into a computer and find clients still using Outlook 2010. Sometimes clients have issues that might take 1-2 hours to fix. I have been recommending that they upgrade to Outlook 2016 instead of having me try to fix a broken Outlook 2010.

There are many reasons why I recommend upgrading

  • Speed, Outlook is just so much faster even on Windows 7
  • If you buy Office 365 subscription, Microsoft does not charge you for help with the software (not email help)
  • It can hold a lot more email than 2010, 50 gig is the limit. Outlook 2010 had a 20 gig limit
  • You can add more emails account, faster setup (usually) and

Things to do before you upgrade

  • Be sure you have a good backup of your email, calendar, contacts, tasks and notes
  • If your PST are very old from 2003 or 2007, your PST files might break. Best thing to do is export to a New PST
  • Have all of your accounts for email and passwords ready. You might need to add all the accounts in again
  • Export your rules if you use them
  • Export your quick parts if you use them
  • Copy your NK2 file or stream autocomplete file, this might delete it self. The file is typically stored here
    • C:\Users\username\AppData\Local\Microsoft\Outlook\RoamCache
    • It might be stored in another directory

Should you purchase or buy Office 2016

Simple answer, I always recommend the Office 365 subscription. Buying might leave you paying Microsoft for help and that can be costly.

After you are all backed up and ready to upgrade

  • Go to the Microsoft store and purchase.
  • Install
  • Reboot
  • Test the new Office, fine tune and configure
  • Do the updates
  • Uninstall Office 2010

Final Tips

  • If you use IMAP on Outlook 2010 and have your inbox shared with other email accounts, with Outlook 2016, the only way to do this is have all accounts in POP or figure out a shortcut in the favorites to have 1 viewable inbox. IMAP and Exchange have their own Inbox in the folder structure in Outlook 2016.
  • Hire a pro to help! I’m available or you can hire a local technician. I do not recommend doing it yourself if you don’t understand my instructions.
