New Outlook Preparation Check List

Hey folks! Due to the upcoming changes with Microsoft, I’m setting up a service specifically for those who want to know everything they need to know to get ready. Yes, it might be years away but Microsoft can tend to change things up quickly and it’s important you know what will be changing for you with your current Outlook configuration. I’m already helping people now because they have tested the New Outlook and like it better than classic, so we are migrating all their data to platforms so they can use the New Outlook.

If you are only using a business domain account with Microsoft 365, more than likely your data will all convert with some minor changes. I’m happy to do a spot check with you either way.

If you are using IMAP, POP/PST and Yahoo, Gmail, etc. This appt will be important for you in the future.

Here is the checklist of topics I can cover in a 30 min – 60 min session:

  • Review your email accounts and discuss each one and how it will work in the New Outlook
    • Example: You can’t use iCloud in the New Outlook if you have another email account using your iCloud user name (Apple ID). This is very common for my clients to use one email address for everything.
  • Review your mailbox sizes limit on the server and what it can handle
    • Create solutions for all your data to get into a cloud server of your choice
  • Review your PST files. We will decide if you want to move them to a Business 365 Microsoft account or a Personal 365 Microsoft Outlook or another platform such as Google, Gmail, etc.
  • Review your Outlook contacts, calendars, tasks and notes. Everything in the New Outlook is different, that data will need to get migrated as well.
  • If you are a heavy tasks user, then we will discuss how that will change using the New Outlook
    • This is very important to know if you are an Android user
  • Review your phones, iPhone and Android users have different mobile apps and each has different synchronizing capabilties
  • How to migrate your memory of contacts, these are the names and emails that show up when you start typing an email
  • Review your rules, quick parts and templates
  • Review Zoom, Teams, CRM, ACT, Any other add-ins, 365 Connectors
  • Security for all email accounts
  • Personal and Business 365 accounts and licenses
    • After our discussion, you might want to change or upgrade depending on your needs
  • I’m always going to recommend domain IMAP users move to Microsoft Exchange. If that is not feasable, there are other options to just move your data to an Outlook.com account (free Microsoft 365 Exchange server)
  • Create a mapping of all of your DNS, 365, all email accounts

PST migration to Microsoft 365

Migrating PST to Exchange online or to the New Outlook is a work I do almost everyday. There is a lot to know about this data migration, it’s not a simple “import” and that’s it. So many variables need to be discussed to have it completed with the least amount of problems.

I will not be going into full details on how to do this yourself, but I do have two YouTube videos you can view if you want to try to do it yourself. If you need help or “coaching” this is a great idea! I helped two people in the last couple of days who wanted to know enough to finish on their own. They will come back when they are done with some more questions, follow up, back up training, etc.

The job I had today was so fun, the client enjoyed learning about his PST data works with Outlook and how it will be after, it was a full 1-hour consultation. I quoted in 2-3 hours total as he loves learning. So if that’s you, it’s worth the money and time. I onboard, teach, setup configuration, train and leave you a list on your computer. I take a lot of notes!

Few important things to know:

  • If one day you launch Outlook and your old Outlook is gone and you are missing all of your calendar, contacts and PST files, please note that you can most likely go back to the classic Outlook and your data SHOULD be there. I say that loud and bold because it should but it might not be. I can maybe get it back if it’s gone.
  • PST files are not supported yet with the New Outlook so your PST files will not show up. If you had Outlook configured with POP and PST, I can help migrate that data to a platform that New Outlook will read, or try helping reverse back to classic Outlook.
  • PST’s might be readable in the New Outlook one day. I’m going to guess that they will not work as they have for all these years, but you might be able to read the data. Who  knows though, Microsoft might allow them to be able to read/move and change. Things I will keep you all updated with in the future.
  • Cool features: Gmail, iCloud, Yahoo has full synchronizing abiliity with their online calendars and contacts. So far! I find this most amazing, so it’s a great update for those wanting “everything to synch” and for home users mostly.
  • Missing features: Oh wow, so many! Contacts, definitely lost many features like fields and just so much. It was a sad day for me to see that. I help so many clients now customize their contacts to perfection. Also many calendar features
  • Tasks, will now be in the To do app and there is a lot coming up with that. Think “Planner”, using Teams. More to come!
  • Search, it’s fast! Way faster than classic Outlook!

You can turn off the body attachment by going to

  • Upper left corner of Outlook
  • File
  • Options
  • Trust Center
  • Trust Center Settings
  • Attachment Handling
  • Check the box for “Turn off Attachment Preview”

 

Migration Project

Hi Folks, This page is all about the full reconfiguration of all of your accounts and get you streamlined into one central platform. As well the #1 request I get. Clients call in for an issue to have repaired and we end up doing a full technical reconfiguration of all their technology. For years people have been band-aiding and doing tech themselves, not understanding how it all works. Many have very confusing setups and nothing is working great. This is where I come in, I reconfigure everything, train you, setup security and get your data backed up

These are now scheduled as projects as they can take awhile to complete but in the end, you will have a setup that works with one streamlined platform on Microsoft Exchange, no more personal account mixups and a cleaned up database. Bonus, perfect synching with other phones, iPads, tablets and computers. Another bonus, room for growth with your company and as Microsoft 365 changes, you are ready for that! And if you’re worried about using other email accounts, you can still do that with your new Exchange, Outlook allows for many emails to be setup.

I have all my clients read this page so they are aware of how much time goes into a complete reconfiguration. After you decide to move ahead, I’ll offer a soft quote of time for this request.

This is for one client, not a company that needs all their mailboxes migrated.

Pricing $299 per hour

  • These reconfiguration requests average 4 hours, but can go up due to other technology you want reworked during this appointment.
  • Time can go into more hours with contacts deduplication, two or more devices configured, answer your questions, complete other tasks you want fixed up such as Windows issues, OneDrive, Teams, Email organization training, Training, upgrades in software, new computer setup, sharing with others, etc.

Is this you? A typical client has the following accounts

Outlook

  • Business Email on IMAP or POP, has issues synching outside of Outlook
  • Personal Email accounts, with Yahoo, Outlook, Gmail, iCloud, etc, setup as POP or IMAP
  • Many Email accounts in Outlook
  • (This Computer Only) for calendars and contacts, they want these moved out to a synching program
  • Confusing calendar in Outlook/sharing with others/internet calendars
  • Confusing contacts, shared from old CRM/ACT datbases
  • iCloud contacts that aren’t connected anymore
  • Help you find lost data “that another tech lost”
  • Setup your Outlook like it used to be, when you setup Outlook now, it sets up as IMAP and many of you still have PST files. I can help set that up, but this is also a good time to move you to Exchange, we will discuss this.

Phones

  • iPhone or Android with many email accounts, none sync with Outlook
  • iPhone has iCloud and almost all email accounts on the iPhone, have contacts and calendar databases synching with the server.
  • Gmail accounts on the iPhone/iPad synch calendars and contacts
  • Shared iCloud and Gmail calendars with family members

Windows Computer

  • Windows computer logged into a personal Microsoft account using their business email, this causes confusion, we need to rework this
  • Clients have their Office licensed to personal accounts and need business accounts licensed

OneDrive –always a another project.

  • Not understanding how it works
  • It’s not working/synching
  • Two sets of OneDrive accounts

MS/Google Security/MultiFactor Authentication Setup

  • You will need all your passwords, phones and app passwords. I can help you figure these out, required before any work is to start.

Backup

  • OneDrive is not a backup solution but a file synchronizing and sharing program. I teach clients how to backup their data to the cloud, external hard drive or 365 cloud backup service.
