How to migrate emails from Classic Outlook to New Outlook

This is a loaded questions with a possibility of 100’s of answers. I’ll explain as simple as I can here, then I’ll try to explain more at the bottom of this post. If you need my help, please use the form below to get in contact.

Microsoft services: 

  • If you have a Microsoft Exchange or Outlook.com/Hotmail.com/Live.com/MSN.com account, your emails, calendars and contacts should show up in the New Outlook just fine.
  • If you have local PST files in addition, you can now add them to the New Outlook. Currently as of Jan 15, 2025 you cannot edit, move/add to these, Microsoft says by March you should be able to
  • I recommend you move all PST data to your Microsoft Exchange server for better use of the data on phones/iPads, etc
  • Templates, rules and other 365 Exchange features should work in New Outlook just fine

IMAP accounts

  • These accounts are fairly typical these days with all cable providers, Network Solutions, Bluehost, Hostgator and Gmail, Google Workspace, AOL, Yahoo
  • Only email from Classic Outlook will open in New Outlook
  • Any data (calendar, contacts, tasks, notes) in a PST/or (This computer only) will not show up in New Outlook
  • This data needs to be migrated to your email server (Gmail/Google Workspace, Yahoo, AOL)
  • Cable companies do not have calendar and contacts available on their servers
  • Rules will not move to New Outlook
  • Local quick steps, quick parts, other “features” you love, might not work for you

POP

  • POP accounts will not setup in New Outlook
  • PST can be opened in New Outlook
  • Your folder structure will change as your email IMAP might not match your current POP/PST
  • While you can open the PST in New Outlook, your categories, other customizing will most likely be gone
  • In time, you can open the PST in New Outlook and use it more, but it’s not going to be recommended. I recommend moving the data to a Microsoft server so you can use all the features you enjoyed in classic Outlook

To migrate email: 

  • Migrate your PST data to a Microsoft/Google Workspace account via classic Outlook
  • This can take a lot of time to complete and it’s easy to do for some folks
