How to Email Outlook Contacts by Category in Outlook 2013 and Outlook 2016
Many clients have called me recently asking for help with their Outlook categories, specifically how to Email Outlook Contacts by Category in Outlook 2013 and Outlook 2016 With the new upgrades in the Office suite and Outlook, it is not working as it used to. People want to do more with the categories and with more ease.
My job has been helping them learn to use a feature called “folders” and then copying the categories to that folder. Once in the folder, you can create a “new contact group” and then you can email that group in your email. Contact Groups have replaced “distribution lists” as you may remember it from old versions of Outlook.
The few things to remember about making new folders is that you have to keep a master copy in the “contacts” folder first, and if you need to update and edit, you edit the master or the folder, they do not synchronize at all. At least not from my experience.
Benefits
- You can now view these folders in Outlook, on your phone and on any other device if you are using exchange.
- Managing the lists is quite easy.
- Exporting for email marketing is easy and I believe with the plug-ins, you can chose what folders to use for the programs.
- Easier to view and organize than in list mode.
- Share within the team using Microsoft Exchange
