Outlook setup for iCloud for Windows Error

This error is not the actual problem on why your iCloud for Windows software won’t setup Outlook. The real problem is that your Outlook profile doesn’t have a PST or a Microsoft Exchange account setup in the profile.

Here is how you can fix this and get your iCloud setup in Outlook again!

Outlook has “profiles” that hold all of your email accounts. Some of you will have only IMAP emails, some of you will have Microsoft Exchange and other IMAP email accounts, some of you might have POP with PST (you should not have an issue with setting up iCloud for Outlook). The iCloud app needs a PST file for some reason to setup correctly.

If this sounds confusing for you and you don’t want to do it, contact me and I can help. You always will want to backup all of your data before doing this just in case something bad happens. It shouldn’t but for those of you with (This computer only) for your calendar and contacts, you might have issues and I would backup those before doing anything else.

iCloud setup requires a PST to finish the setup. Here are some instructions:

  • Go to your Outlook profile in the mail app in the control panel
  • Click on “Data files”
  • Set a PST to be the default, if you don’t have one, you can add one in there (again be careful if you have a (This computer only) calendar and contacts.
  • You will get a notification about a change that will happen in  your profile
  • Then relaunch Outlook
  • Then log out of the iCloud app
  • Log in again
  • Synch the calendar and contacts
  • A Wizard will launch, select the top option
  • You will see all of your iCloud data “downloading” meaning it’s bringing the data down into the computer. It’s not being hosted in the PST file but iCloud still requires a PST for some odd reason
  • When it’s setup, you will get the setup finished window. If you get the iCloud errors, you might not have a PST setup correctly
  • Launch Outlook and you will see “iCloud” at the top of Outlook in the navigation bar
  • Your calendar will be listed underneath any other calendars
  • Your contacts will show underneath any other contacts

Again, if these steps are confusing or too complicated or you just want me to help, this can be a 1-hour request if I do all the backups and onboarding. New Outlook Features for Gmail Users

Just like my post last week about amazing changes coming ahead for Outlook Classic users, the Gmail crowd gets it’s own post. I have come up with a nice list of changes they will enjoy, or so I think anyway. This comes from the clients asking questions such as “Why doesn’t my Outlook work with Gmail like my Microsoft accounts?” or my favorite “Why do my calendars not sync with my phone?”

Many of my current Google Workspace connector clients have made the switch mostly due to the GWSMO not functioning properly or once they know of the new functions.

If you’re using Gmail setup as IMAP or Google Workspace connector for Outlook Classic now, you can expect these changes when you switch to New Outlook. My next article will be a list of functions that don’t work and this might be a deal breaker for some of you. Moving your email to Microsoft Exchange might in your future, especially if you want to use the Teams button to schedule meetings.

New Outlook Cannot Add a New Email Without a Microsoft License

This is a new issue I am seeing lately. Today I was helping a client set up his New Outlook email. He set up an Outlook.com first, then his other Outlook.com email. But when we tried to add his Business 365 account, it would not set up due to “no license available” error. Unfortunately I didn’t get the exact error screenshotted but it was similar to what I just stated.

He was using Microsoft 2016, which only comes with the Outlook Classic. And the product is a download, installed on the computer. So for him to add that 365 account, he would need to subscribe to 365 apparently.

He did not want to do that as he had software that would not work with 365, so we set up Outlook Classic.

Microsoft Access not emailing from New Outlook

I helped a client this past week and we could not get MS Access to email from New Outlook. The client really loves New Outlook so I created a solution for him that works but not through New Outlook.

I launched Outlook Classic, pinnned to his task bar. Set all defaults to New Outlook and since his email is IMAP, both versions will sync his email. Now he can still send using Outlook Classic and the email will show up in New Outlook. This is the best solution for him as Access and New Outlook might not ever talk due to some VBA requirements. I did research a bit and saw it online after I offered this.

How many PST files can you add to New Outlook

Question that live rent free in my head 😂

Back when I was doing all my first round testing of the technical limits of New Outlook, adding in PSTs was not available. Today I helped a client and his request was “I want to use new 365 so I can search all my data for a research project” and I had no idea how this was going to go. When I remoted in, I saw 23 PST and added his license to New Outlook and off we went! I got 21 added in fine, but New Outlook was cranky after that. So for now, we are letting it rest for a day or so, he will do some testing and then we add in 16 more! I’ll update with results.
