Sending’ reported error (0x80040201) : ‘Unknown Error 0x80040201’

If you are a Gmail user that also uses Outlook to manage your email, then you may have seen this error

Sending’ reported error (0x80040201) : ‘Unknown Error 0x80040201’

(*or one like it) during a send/receive. It will either pop up or show up at the bottom of your Outlook.

As an Outlook Expert, I get calls about this error or one like it often. In a nutshell, your connection from Gmail to Outlook is broken (*even though it still might be working) and it’s saying “fix me!”.

So why are you getting it? Why is it broken? How did it break?

Could be a few reasons and I will explain.

If you setup your Gmail in Outlook many years ago, chances are that your email is not in synch with Gmail and you are hoarding 1000’s of emails (probably hiding in the All Mail or Important folders) and maybe went over the size limit or it’s just too much for Outlook to handle synching. What I do is create the client a test profile in Outlook and then get a fresh IMAP download (if the current Outlook is setup with IMAP as it probably is) and then let Outlook download a fresh IMAP copy. If I’m right and this is usually the case, you will see tons of email come down and it will show as “caching” or “fetching” and don’t be surprised to see 100,000 emails or more.

You could also need an upgrade to Outlook 2013, this might be necessary.

You  might need to fix your Gmail settings in your Outlook too.

Or it could be a mix of all 3.

Moving on..

After I download all the email to a new profile….then we move into the fun stuff, the sorting and removing email off the Gmail IMAP server. This is the only way to really clean up the Gmail server if you’re using Outlook, download it all, the move it (not copy) to another PST file.

I helped 2 clients today with issues like these. 1 client just needed a fresh IMAP download, the other unfortunately had over 120,000mails I have to move off the Gmail server.

The final question I will answer is this…why doesn’t Gmail on the browser have problem because the email is on their server, via the browser. It does not download to Outlook, so the problems are rare.

Organizing your Outlook Email Folders

Outlook-150x150Hi again folks, Lisa your Outlook Expert talking to you today about organizing your email. Many of us, including me…get 1000’s of emails per week and figuring out a system to keep them managed is a chore on it’s own! But the thing I have found as an email specialist is this…everyone likes doing things their own way, or until I show them a better more managed way.

Here is how it goes. A client calls in because they have issues with their current inbox. Many are exceeding their email server limit, or their Outlook is just slow. I do a review of their email size, their server and their PST folders. While it seems easy enough to do on your own, many clients hire me to do the general clean up and get it done fast and efficiently. And that is what I do. I dive into your emails/folders and create folders per year, then create deleted/sent folders and sub folders as well. I move email off the server to these folders and when I am done, you will see a perfect alignment of your emails folders by year. It actually looks pretty nice and easy to find when you search!

Today a long term client called in for her “yearly email move” and what we do is move all of her emails from the inbox to a new 2014 folder so her inbox is clean and ready for this year. This is a smart way to get your emails organized and keep your inbox tidy.

Outlook 2010 is slow and won’t search

Client is very technical with Outlook, but not all techy clients know why their Outlook can slow down and many think they have too much email. Which can be the case, but usually I have to remote in and go check many things that can cause Outlook 2010 to slow down. Sometimes to a turtle pace!

So today we will talk about Outlook 2010 and why it can slow down.

Here is the list of usual suspects…

  • PST’s have too much email in them (so, yes…you need to move off some email)
  • Too many PST folders open (No, you don’t need 12 years of archive folders all open at the same time….probably?)
  • You are searching all of the folders, (when you might only need to search maybe 1 or 2)
  • Your indexing is broken (the search feature)
  • Outlook 2010 is getting too old to handle what you are giving it! (true, you email hoarder you 🙂 )
  • You need to upgrade to Outlook 2013

Of course, there can be a list just as long of things causing Outlook 2010 to be slow, add-ins, 3rd party apps, who knows. I know though when I get in a computer I know what to look for right away. This is why hiring an Outlook Support tech to help is the best idea.
