Outlook & Email Back Up Tips

Welcome back! This week I will discuss a few important issues about securing your Outlook, email and backing up. 
Phishing, email, phone and text scams, wire transfer fraud and ransomware are still happening every day to regular people, not just “big cities” with bad backup solutions. I hear it often from my clients. They clicked in a link and all their inbox emails were missing. I found they were hacked, and the hacker put in rules to delete all new emails. I have seen worse than that, clients being taken in wire transfer fraud schemes for over $100,000! 1.) Never give out your password to anyone online.
If you click a link and it asks for your password to anything (unless you are intentionally logging in), close the window! Forward me the email you received if you want me to spot check it for validity (I do this free for prepay clients). Phishing scammers are getting smarter everyday, if you click a link and it looks legit, it’s probably not!
2.) Never let someone you don’t know remote in your computer.
This is almost always a scammer and they will more than likely try to destroy your computer if you don’t pay. Some do it anyway! This happens a lot when you go to Google and look for “Microsoft’s phone number” it’s usually a scam company.

Call me to help set it up or call your IT service provider. 2-Step is getting a text code, or a code sent to another email to allow access to your email online. How this works….if you have security setup and one day you get a text for a code and you didn’t do something to activate it, someone probably is trying to hack in your email. That’s what 2-step does…protects your email account.

4.) If your email is going into people’s junk or spam, You need a SPF record updated with the company you bought your website from (GoDaddy, Network Solutions, Blue Host, etc.) This is not always the same as where you email is hosted. I can help with this setup and I can also setup more records for your company email account. And if you need to, migrate to a Microsoft Exchange Server.
 
 
5.) Backing up your email is just as important as your other files!
I believe in backing up the IMAP, Exchange and those pesky “This Computer Only” folders in your email, calendar, contacts, tasks and notes.
