Why keeping a list of your passwords is important and saves you money

girlAs an Outlook expert and Office 365 consultant, I deal with clients who need their email reconfigured or setup again, or just redone in general. Almost on a daily basis, my clients do not remember their passwords nor do they have them handy. Some of our time on the clock, is them doing password resets or doing long security questions to get their passwords reset. Or worse, they keep retrying sets of passwords they have and none work, frustrating the client.

Also, people have many different email accounts, so that just adds to the password issues. We all have multiple emails and passwords, probably 50 online accounts to manage and it’s really all just a lot to deal with isn’t’ it?

notepadHere is what I do, I have a notepad I keep in my files that has all my passwords and trust me, I have well over 100 to keep track of. Once you change a password, get in the habit of changing it on your list.

Is it safe to keep these passwords lists on your computer you ask?

If your computer is in a safe place, like your home or office and you have your computer password protected, you are probably ok to keep your passwords on your computer. If you use an online file sharing program such as “OneDrive” or “Dropbox” these programs are probably safe as well because they have 2 step authentication so you are alerted if someone adds your account to their computers.

What about Viruses’ Lisa!

In today’s “hacking world” most hackers want your lists (email hackers want your contacts),  and most viruses do not install keyloggers that grab all your passwords and get into your banking accounts. Can viruses do that? Of course, but it’s not common. A hacker usually hacks into banks and Home Depot, Target, etc…they want massive lists of credit cards. For a hacker to spend a lot of time trying to get into your computer is just not common

memeShould you use LastPass or another password saving program?

You can try it, but then again…be sure you can “see the password” as I have used LastPass and had issues with it not remembering and so I was back to square one, typing it in manually! Eventually I just removed LastPass, drove me nuts.

So how does all of this save you money?

Well, if you consider your time money, keeping a list of passwords will save you time because you will have them handy. If you’re hiring help, like me…having them handy will save you money because we are on the clock while you are out trying to find your password.

 

 

How to remove a password prompt pop up box in Outlook

Clients on occasion may experience a pop up box in Outlook, prompting them for a password. This is very common if your server is hosted with GoDaddy. It can happen though to anyone using any server.

How we fix this!

  1. You need to close Outlook completely first. (File, Exit) do not click the red X in the upper right hand corner
  2. Then go to your control panel and go to “User Accounts”
  3. To the left, you will see “Manage your credentials”
  4. In this list, you will see your email server credentials saved. If you have Godaddy, you will see their servers “secureserver” listed with a bunch of other numbers.
  5. You need to click on the arrow on that listing and “Remove from vault”
  6. It will remove at this point, close all windows and restart your computer.
  7. Then after you have restarted, open Outlook again and the password prompt will open up again. Put in your email and password and click on “Remember my credentials”
  8. Then it should go away after that.

If it does not go away, then you need to contact your email hosting provider for assistance. Be sure to tell them you tried this first.

The Top 3 Computer Issues You Will Probably Experience

computersYou may be one the lucky people that knows how to fix everything on their computer and you might be one of those that just never have that type of luck and need your computer serviced more often.

Before I dig into the top 3 types of service calls we see most4, there are 3 main categories…

3 types of repairs and software

  • Hardware
  • Software
  • Windows or Mac Operating Systems (while considered software, I have it in it’s own category for a reason)

Software will by far be #1 on the list, we repair software with almost every single computer we service.

Windows is #2 on the list, while we fix numerous software issues, Windows Operating System repairs only ranks #2 for a reason, it is much better than it was years ago and now Windows 7 is quite reliable–but Windows 8 is not doing that well and we do our fair share of software repairs here folks.

Hardware, while computer needs hardware replacing ranks #3, it’s way more rare than it was just even 5 years ago to repair. Why is this? People don’t want to invest  in expensive hardware anymore when they could buy a new computer cheaper and or buy a tablet for way less. One exception is the Mac world, people invest a lot of money into Apple products and they do usually pay for the hardware replacement units.

So on to the list!

The number three repair we service here at CTG is virus removals. So many people are still using free antivirus and it just is not good enough. While no antivirus is 100%, some programs are just better than others. Free is never on that list of “better than others”.

 

arghThe number two repair is general computer glitches, this can include but not limited to

  • Flakey mouse
  • Modem/Router help

  • Pop ups (junkware)
  • Redirected internet searches
  • Printer won’t print
  • Office issues (all versions)

How to setup Public Folders in Outlook 2013

I found this may be helpful for some of you looking to add public folders/calendars/contacts to your Outlook if you are using Microsoft Exchange. I am not giving instructions on how to create them in your exchange control panel, just how to add them to Outlook.

Look at the bottom left area of your Outlook. You might see “mail/calendar/contacts or people”, you need to open the view up for “folders” to do so, click on the navigation arrows options or “View list” (Outlook 2010) or ….

You might see a screen like this, for now, max it out to 7 visible items. Click OK

Now you should see all options in the lower bottom of Outlook

Click on “Folders”

You should see a mailbox now in your regular Outlook folders list, called “Public folders”

If you do not, then restart your computer and launch Outlook, they should show up.

Open the folders and see the location you want to view in the calendars. Select that location calendar and right click on it and select “New calendar”

Name it the location and be sure to select in the folder contains box “calendar items”

Now you will see this calendar in your list.

Right click on the new calendar and find “add to favorites”

Name it the calendar of the location

Now go to your calendars and you should see it in the list of calendars. If not, you may need to start outlook/and computer, but I would give it a few minutes to show up.
