  • Clients will call in because Office 365 and Outlook are not doing what they want them to do. Technicians are finding themselves telling clients that they bought the wrong software package for what they need, and have to buy the correct one.
    • Product of “Microsoft Confusion”
  • Office 365 E1 or E3
    • For Non-Profit companies
      • E1 is completely free, but they would like a donation. As many seats as you need.
      • E3 is reduced price.
  • Clients using Windows XP wanting to do a migration…
    • Cannot put Office 2013 and Outlook on XP.
    • Took an entire day to do the updates, backups, and migration.
    • Cost THOUSANDS of dollars.
    • Was done all by hand, no MigrationWiz.

    • Is an easy-to-use data migration solution that allows users to move large amounts of data and email from destination to a new platform relatively quickly and easily. Requires no technical knowledge, no download, and no local installation (BitTitan, 2015).

  • Consider backup plans
  • More prep work involved with migrations.
    • Ask if they need a backup plan for data.
    • Ask if they need file sharing and ability to sync contacts and calendars
      • Buy Exchange, Office 365.
        • Seldom to hear a client say “Give me everything AND Yammer.”
  • Pre-migration work for Office/Outlook
    • What versions of Outlook are already being used?
      • Typical to not deal with anything any older than Outlook 2003 or 2010.
        • Can be a real pain and a hassle…
  • Does Outlook need a tune-up?
  • Offer Exchange training for clients.
  • Follow-up care for clients and end users. Call to check that things are working correctly, make sure the client is happy.
  • Provide support and management help.
  • Corporate companies may or may not have a budget for IT. They are willing to cough up the big credit card to get a quality project job done. They can afford it!
  • Let the client know about licensing options and prices on monthly recurring costs.
    • This will save them money. They will appreciate that and will have more money to spend on other products and services, leaving room for a possible product upsell!

    • Business Essentials

      • If you bought it from a store shelf, then you likely bought the home edition.
      • It is next to impossible for the average user to install this software, and then it gets really messed up. Even technicians have troubles with this software at times as there is no wizard or set of instructions that really help with the installation process. You just have to find a process that works for you, document it, and train others.
        • Mail can be going everywhere or nowhere, can be locked out of Outlook.
        • Once the installation and setup gets messed up, a technician has to perform a rework of the job and start it over to get it setup the way that it should be setup for things to run smoothly and efficiently based on the needs of the company.

    • A family of products
      • Home
      • Personal—Cheapest
      • *Business*
        • Exchange
    • You do not want to use home or personal editions on work or business computers.
    • Online version or download only version of Office 365.
  • Google Apps support with Outlook is not great.
    • There are known sync issues with Google Apps and Outlook.
      • Some of these issues include:
        • Will break/stop working properly.
        • Contacts/Calendars tend to have syncing problems.
          • Paying to fix this with a professional can be expensive and time consuming.
  • HIPAA compliance with clients in software programs and in cloud computing and storage can be risky.
    • Read Google’s fine print because their HIPAA compliance is questionable, and would not be advisable to recommend that clients use Google Apps.
      • Benefit to Microsoft’s software (Exchange, SharePoint, Outlook, etc] is that it is stamped the HIPAA compliance seal of approval.
  • Keep client’s medical and personally identifiable information confidential!
  • Google does not have email encryption.
    • Postini encryption was used previously with Google.
    • Now Google partners with a third party, ZixCorp, to provide the option for email encryption if desired by the user.

      • Mappy server behind the scenes.

  • Cannot send/receive email
    • Managed IT company set up the email server and accounts, but could not fix the problems the users were having. Had to create a new POP email profile.
  • Contact Server
    • Share contacts list and sync contacts with other users on the server.
  • People are creatures of habit. They find a way that is comfortable to them and then are hesitant and resistant to change. This can create many stressful, messy situations for the technician that has to resolve the issues to the best of their abilities while still attempting to please the client—even if the client is stubborn and wrong.
  • Outlook will only open when the technician is remoted in.
    • Graphics accelerator was found to be causing problems.
      • NVIDIA graphics driver update needed to be installed.
        • Graphics driver update was installed, and somehow, the problems were gone. Voila!
  • CardDAV
    • Open Internet Protocol, like IMAP
    • Android-based contact syncing/sharing program that shares contact data on a server.
    • Can help sync iOS and Google+ contact data
  • CalDAV
  • File Sharing
    • File sharing is essential in some businesses. Employees need to be able to share and access contacts and calendars with other employees within the company. File sharing helps to accommodate this need.
    • Many different file sharing options are available, and these are some of the more commonly used ones in today’s businesses:
      • Dropbox
      • SharePoint
        • Both Dropbox and Microsoft’s SharePoint use a folder sharing concept rather than the mapped drive concept, which can be messy and difficult to manage.
      • Map Drives
      • One Drive
    • File sharing with folder is easier than mapping a network drive for employees. With file sharing, people want to sync contacts and calendars for both personal and professional usage, and share these with other people within the company. While this sounds ideal, managing these synced pieces during a migration can become a hassle for technicians.
      • Hot fixes can be found to fix some file sharing program issues
      • Configuration issues, mapping drives, and web development support issues are among the list of issues that you can find fixes for.
      • Cookies from Office365 and SharePoint—One visit can cause mapped drives to not work properly with trusted websites.
